Supply Chain Assistant (National Contract)

The Supply Chain Assistant will provide an overall day-to-day management responsibility support for the administrative, logistics and transport of the Country Office supply Chain Department (Warehousing)***.***

The Supply Chain Assistant has the responsibility of ensuring the stock at the transit warehouse are managed in line with the stock management guidelines and records are properly maintained.

S/he will also support the Country office in managing administrative functions including office management, security property management, stores and other related support functions. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly

QUALIFICATIONS AND EXPERIENCE

  • Diploma in Public or Business Administration or related Discipline.
  • 1-3 years of progressive responsibility in Supply Chain and administration 2 of which are spent in an international development organization
  • Good organizational and management skills including problem solving;
  • Good verbal and written skills in English;
  • Willingness and ability to work in a collaborative and inclusive manner;
  • Self-motivated and creative;
  • Representational skills;
  • NGO experience an added advantage
  • Knowledge of local language spoken in an asset.

Contract Duration: 5 Months

QUALIFICATIONS AND EXPERIENCE

  • Master’s degree in Gender or Women Studies or Social Science, or any relevant subjects
  • At least 5 years working experience in this field
  • Demonstrated experience in designing, implementing and evaluating gender equality and inclusiveness in programming in complex humanitarian responses
  • Solid knowledge of gender equality minimum standards, inclusion minimum standards, familiarity with Sphere, IASC (e.g. protection) guidelines/standards, Red Cross codes of conduct and HAP and their application in humanitarian responses and also.
  • Substantial experience in protection work, cross-cutting issues in humanitarian response (age, disability, environment etc.), working with vulnerable groups or participatory approaches.

The duties of the SO are:

· Ensure that all PAH-South Sudan programme activities and locations are assessed and monitored relative to their impact on staff safety and security, and make recommendations on protocols and practice to reduce staff risk and vulnerability.

· In conjunction with the Head of Mission and other relevant staff, assist in the debriefing of staff that has experienced security incidents or ‘near miss’ incidents.

· Coordinate post-incident follow up actions, analysis and recommendations.

· Ensure that communication systems are adequate and maintained. Provide training to staff on the use of such equipment and communications protocols in conjunction with the supply chain

· Conduct security assessments in new areas prior to entry by PAH programme staff, in collaboration with Coordinators and Focal persons.

· Ensure that briefing documents and maps are developed to help orient all new staff (national and international) about the overall security situation in South Sudan and the particular threats and procedures in the areas where staff will be based.

· Ensure that a centralized filing system of security-related documents is maintained.

· Conduct ongoing threat assessments and compile reports on security assessments of offices, staff guest houses, field sites and project areas.

· Ensure Security briefings (arrival and complete) are of adequate quality and done in timely manner.

· work with national and international staff to build a shared understanding of security analysis and risk mitigation.

· With the support of the Head of Mission, develop a standardized security training method and provide security training for all staff in safety and security related subjects ensuring that policy and guidelines are understood and are being adopted and implemented across the programme.

· Coordinate and liaise on programme safety and security matters with all relevant actors in country such as national and international NGOs, UN, Donor organizations, government authorities and other stakeholders within the population.

· Proactively share information with staff in the Country Office and in the field ensuring high security awareness levels, close situation monitoring and effective two-way communication on security-related issues.

· Ensure all new staff members receive a comprehensive orientation and are fully conversant with security protocols and requirements.

To fulfil those tasks, the SO must demonstrate relevant knowledge and skills in security and safety management including:

· Work experience in insecure/hostile environment

Purpose

Main objective:

About the role

Christian Aid is looking for a Stories & Content Advisor to help gather and produce high-quality stories, content and multimedia materials that tell the story of the impact of Christian Aid’s work around the world.

The postholder will maintain up-to-date information of Christian Aid’s programmes globally and will identify potential cases studies within our programmatic work from which to gather compelling stories to tell through our fundraising and supporter engagement communications.

The postholder will manage content-gathering operations in a variety of locations, remotely or directly, to efficiently provide colleagues across the organisation with the stories and content that will facilitate them in achieving their own objectives in areas such as fundraising, media, campaigning and advocacy.

This role involves a high degree of planning, communicating and stakeholder management in order to maintain up-to-date knowledge of our programmatic actions and the content-gathering opportunities they offer while also maintaining up-to-date knowledge of stakeholder’ content requirements.

The postholder will be responsible for ensuring that content gathered is well documented in terms of captions, contextual information and metadata and that digital content, including photography and video, is correctly stored, tagged and shared across the organisation using the Digital Asset Management platform.

About you

You are educated to degree level or equivalent, ideally with qualifications in communications, marketing, journalism or development (or equivalent experience obtained at a senior level).

You have excellent organisational and influencing skills and experience of managing complex stakeholder relationships, including remotely and internationally, as well as managing content-gathering schedules and delivery.

You have proven experience in understanding what makes a good story and technical experience in creating a good story, and ideally have experience in gathering content in the field, including gathering well-documented photography and video content

Conflict sensitivity is a programming approach that emphasises strong contextual analysis and programmatic flexibility to minimise aid’s negative consequences and maximise its positive impacts. Conflict sensitivity is particularly important in volatile, conflict-affected contexts such as South Sudan where inadequate understanding of conflict and political dynamics can lead to donors and implementing partners inadvertently exacerbating the conflict.

The CSRF programme is implemented by a consortium of NGOs led by Saferworld in collaboration with swisspeace and REACH. The CSRF completed a two-year pilot phase at the end of 2018 and has begun a five-year contract which runs from January 2019 to December 2023. The post-holder will be employed by Saferworld.

Overview of position

To mobilize community for Registration, Verification and Distribution, set up Final Distribution Points (FDPs) according to our client’s standard distribution procedures and provide end user monitoring and accurate documentation on all food distributions.

Role objectives

The main responsibilities of the Consultant will include but not limited to the following:

Food Distribution

• Liaise with Warehouse staff on distribution planning and food dispatching from Warehouse to Final Distribution Points (FDPs).

• Ensure that all commodities entrusted to our client arriving at FDPs are properly accounted for.

• Scrutinize all waybills for commodities arriving at the FDP.

• Ensure that the foods are of correct quantities and quality as manifested on the waybill. Immediately record all quantities delivered short (missing), quantities lost in transit and quantities damaged if any. All observations must be recorded immediately. Commodities must carefully be counted during offloading.

• Ensure FIFO is observed at all storerooms in all FDPs.

• Train FDP Management Committee in commodity stacking, counting, weighing, and FDP Complaints Committee on Complaints handling process.

• Train beneficiaries on Donor, Implementing Partner, Program, Duration, Selection Criteria, and Ration Sizes.

Project Monitoring

• Monitor the distribution of foods for every FDP and produce reports.

• Submission of distribution plans for each FDP and actual beneficiaries to the District Coordinator for approval.

• Review all the FDP Documents and compare with the Master Beneficiary List. Record all changes and report them regularly.

• Follow up on Beneficiary Complaints from Help Desk and give Beneficiaries feedback of their complaints.

• Prepare Distribution Center Visit Reports (DCVR) and Food Monitors Report after every Distribution.
